When to use Bulk Process
Are you getting submittals with more than 10 files at a time? If yes - try bulk processing! DocBoss will attempt to auto-match the files to the cards for you.
Checklist for Bulk Process
- Is the file name something that DocBoss can link to the existing card?
- Do I know the status of the files I am uploading?
- Is my Bulk Process is turned on?
Let's Go
- Create Submittal folder and upload files (ensure Enable bulk process is checked)
- Open Submittal folder
- Accept the matches
- Apply Status and Routing
1. Create Submittal
2. Open Submittal folder (and watch the magic)
DocBoss is breaking up the file name and looking for matches with existing document numbers. The results are shown in the pop-up below. (Should you receive an error here be sure to have a look at the following articles Matching Cards in Bulk Process or Understanding the Split Parameter in Bulk Matching Process).
3. Accept Matches
4. Apply Status and Routing
You have now matched the files to the cards, you still need to assign the status and define the routing. You have the option to Process Individually or Process In Bulk.
Process Individually
- Select the applicable card from the drag & drop column
- Drop in Process Individually
Complete the information for each document and save.
Process In Bulk
- Select multiple cards from the drag & drop column
- Drop in Process in Bulk
You can now assign the same status (and routing) to a group of cards all at once.
Once you have assigned details to all files the grid will be empty and the submittal will be marked complete.
